# Edit AI writing for meaning before style Start an AI-writing edit by checking what the draft says, not how polished it sounds. Resolve unsupported claims, missing context, and unclear requests before changing the rhythm. A shorter inaccurate sentence is still inaccurate, and a more personal tone cannot repair an invented fact. ## Mark the job of each paragraph Label each paragraph as context, evidence, decision, or next action. If two paragraphs do the same job, consider combining them. If a recommendation arrives before the reader knows the constraint, move the constraint earlier. This is an editorial diagnosis, not a rule that every document needs four parts. ## A fictional edit Draft: “Our innovative onboarding initiative has transformed the customer journey, fostering alignment across stakeholders and unlocking significant efficiency.” Known facts: the team created a handoff checklist and used it for twelve accounts. No efficiency measurement exists. Revision: “We used a handoff checklist for twelve customer accounts so support and implementation could see the next owner.” The sentence describes the change and purpose. It does not claim the checklist reduced time unless that was measured. ## Keep facts and style edits separate ```text Edit this draft in two passes. Pass one: identify claims, missing evidence, ambiguous references, and unclear requests. Do not change facts while resolving wording. Pass two: shorten repeated context and replace vague phrases with supplied details. Return the revised draft and a list of material changes. Preserve uncertainty and my intended meaning. Draft: [paste] Confirmed facts and audience: [paste] ``` ## Read for the response you need After the edit, ask what the reader should understand or do. A project update may need a decision; a personal essay may need a clear scene; a support email may need an answer. The useful check depends on the purpose. Read the draft aloud once. Restore any natural phrase that the model flattened into formal language. Verify names, dates, numbers, and quotations separately from the prose review. Keep a copy of the original if the wording carries legal, contractual, or organizational significance, so changes can be checked by the responsible person. ## Work through an entire short update Here is a fictional draft with several different problems: “Following our comprehensive review, we are delighted to report that the new onboarding checklist has transformed the experience. The team is aligned and the next phase will be seamless. We would appreciate your thoughts at your earliest convenience.” The supplied facts are narrower: the checklist was used for twelve accounts; support asked for an owner field; the team needs a decision on that field by Friday. A more useful update is: “We used the onboarding checklist for twelve accounts. Support asked us to add a field naming the next owner. Can you confirm by Friday whether we should include it in the next version? We have not measured the checklist’s effect on onboarding time.” The edit replaces celebration with the observed work, names the actual decision, preserves the real deadline, and states the missing measurement. It does not claim the checklist succeeded simply because it was used. ## Use a change log for meaningful edits | Change | Why it matters | | --- | --- | | “Transformed” removed | No outcome measurement supports it | | Owner field named | Gives the reader the specific issue | | Friday retained | Keeps the confirmed decision deadline | | “Seamless” removed | Predicts a future experience without evidence | | Measurement limit stated | Prevents use from sounding like proof of impact | This log is more useful than an explanation that every sentence was made “clearer and more engaging.” It tells the author which claims changed and why. ## Know when the draft needs more reporting If you cannot identify the actual event, decision, or evidence behind a paragraph, another style pass may not help. Ask the author what happened, inspect the source record, or leave an explicit question in the working draft. Do not use AI to manufacture the missing substance. When the facts are complete, restore the author’s natural wording where it helps. A personal essay may need detail and rhythm that a project update does not.
